Camp Policies

Registration

  • All required registration forms must be submitted to the camp office no later than one week prior to your child’s first day of camp. These forms can be found in the Forms and Documents section of your CampInTouch account. 
  • Campers must be registered and paid in full to attend camp. A complete application, including all required forms, must be submitted at least one week prior to the first day of camp.
  • If a camper is waitlisted for a camp, you will NOT be charged the deposit until, and if, you are moved to enrolled status. However, it is required that you enter your credit card information to hold your spot on the waitlist.
  • Pass Academy Tennis camps handle their own registration and are run separately from Bullis Summer Programs. Visit the Pass Academy website for their registration, refund, and cancellation policies.

Deposit

A deposit of $100 per camp session is due at the time of registration and must be paid by credit card. This deposit is non-refundable. If you are on the waitlist for a camp, please view the Waitlisted Camper section of our policies.

Payment / Cancellation / Refund Policy

  • Tuition and fees will not be prorated for partial attendance.
  • Bullis Summer Programs reserves the right to cancel camps. Should Bullis Summer Programs have to cancel any camps for Summer 2024 for any reason prior to the start of the program, Bullis Summer Programs will provide a full refund.
  • Should a portion of a camp have to be canceled for any reason after the start of the program, Bullis Summer Programs will provide a prorated refund.
  • Full payment is due by May 15 for registrations prior to May 15. Full payment is due at the time of registration for all registrations made after May 15.
  • All payments become non-refundable after May 15. Forfeited fees from cancellations or differences in camp cost cannot be applied to future summer seasons.
  • Bullis Summer Programs does not offer payment plans.
  • Payment options include: credit card (VISA, Master Card, or Discover). No cash or personal checks will be accepted.
  • A camper who is not picked up within 15 minutes of their camp session ending will be automatically enrolled in Extended Day and charged the drop-in rate.
  • For any Extended Day pickups after 5:30 p.m., late charges will accrue in the amount of $2/minute. All Extended Day drop-in charges and late fees incurred will be charged to the credit card on file after the date of attendance.
  • Bullis Summer Programs reserves the right to charge the credit card on file for outstanding balances.
  • Bullis Summer Programs will not be responsible or legally liable for any camp payment refunds or for any loss, costs, or damages for any delay or failure of its performance under this agreement, including any changes in program offerings, cancellation, or other alteration, resulting from an act of nature or other condition beyond its control (force majeure). In the event of a force majeure situation, Bullis Summer Programs will suspend or alter its programs if, and until, in its sole discretion, it is able to appropriately resume programming.
  • Pass Academy Tennis camps handle their own registration and are run separately from Bullis Summer Programs. Please visit the Pass Academy website for their registration, refund, and cancellation policies.

Waitlisted Camper

If a camper is waitlisted for a camp you will NOT be charged the deposit until, and if, you are moved to enrolled status. However, we do require you to enter your credit card information to hold your spot on the waitlist.

Program Change Requests

  • For any camp change requests to existing registrations, please send an email to summer_programs@bullis.org at least two weeks before that camp begins in order for it to be considered. Please type in the subject line “URGENT – PROGRAM CHANGE REQUEST”.
  • Change requests will be reviewed on a first-come, first-served basis and are not guaranteed.
  • Changes from one camp session to another camp session cannot be accommodated after the session begins.
  • Changes made to existing registrations are subject to a $35 change fee.
  • When changing from one camp session to another camp session with lower tuition and fees, the difference is non-refundable, and the $35 change fee will still apply.
  • Pass Academy Tennis camps are run separately from Bullis Summer Programs. Change requests from a Bullis Summer Programs camp to a Pass Academy Tennis camp will not be accepted.

COVID-19 Safety and Procedures

Health and safety protocols are subject to change given local and federal health guidelines and the levels of community spread of COVID-19 at the time of camp.

  • Vaccination
    • Bullis Summer Programs strongly encourages COVID-19 vaccination for all members of our camp.
  • Masks
    • Masks will be optional during summer programs (both indoors and on Bullis-provided transportation).
  • Monitoring for Symptoms
    • If your child is ill, please keep them home. Contact our summer office at summer_programs@bullis.org when a camper is absent to let us know your child’s symptoms.
    • If you have questions about whether to send your child to camp or when they are able to return to camp after illness, please contact our camp nurse Monica Dayhoff at monica_dayhoff@bullis.org or 301-983-5744.

Health Forms and Medications

  • Completed camper health forms must be submitted to the Summer Programs Office at least one week prior to the start of the camp. All campers are required by Maryland law to have a completed health form on file. Health forms can be found in the Forms & Documents section of your CampInTouch account as well as on the Summer Programs website under the tab labeled “Already Registered.”
  • Campers taking prescription and/or non-prescription medication while at camp must submit completed health forms to the Summer Programs Office at least one week prior to the start of camp.
  • A Medication Authorization Form AND an Allergy, Asthma, and/or Seizure Action Plan(s) (if applicable) must be submitted to the camp office prior to any medication being dispensed or brought to camp. The form(s) must be completed and signed by a doctor and can be found in the “Forms & Documents” section of your CampInTouch account.
  • All prescription medications must be brought to camp in the original pharmacy container labeled with the child’s name, dosage amount, and the time(s) to be given.
  • Please place medications, a copy of the Medication Authorization Form, and a copy of the Allergy, Asthma, and/or Seizure Action Plan(s) (if applicable), in a plastic bag, clearly labeled with the camper’s name.
  • Any camper who will be self-carrying and/or self-administering Epipens or inhalers must be cleared by the camp nurse, with signatures from both a parent/guardian and the camper’s physician to do so. No other medication is able to be self-carried.
  • All medications should be given to camp instructors or the camp nurse on the first day of camp, unless the camper has been cleared to self-carry.
  • Sunscreen: Staff are allowed to apply sunscreen to campers who need assistance. Make sure to sign the sunscreen waiver through your CampinTouch account. Please send your camper with their own spray sunscreen so they can re-apply during the day. We do not need a medication form for sunscreen. Sunscreen should also be applied at home each morning prior to coming to camp.
  • Immunization records of campers who attend school outside of the United States must be on file in the Summer Programs Office prior to the start of camp.

Absences and Illness

Notify the Summer Programs office at (301) 983-5741 or summer_programs@bullis.org for the following reasons:

  • your camper will be absent or late
  • you or your camper has concerns at any time
  • your camper has a fever or is ill; for the well-being of your camper and others, please keep sick children home.

Emergency Info

Any closure or emergency information will be sent via email, and posted on the Summer Programs website, Facebook, and Instagram. A text message will also be sent to any cell phone numbers provided during the registration process.

Weather

  • Bullis Summer Programs will not cancel camps due to inclement weather unless it presents a safety hazard or a loss of power. 
  • In the event of thunderstorms, campers will be moved safely indoors until the threat of the storm passes.
  • In the event of excessive heat, we make every effort to keep campers well-hydrated, in well-ventilated indoor areas, or in shaded outdoor areas. Instructors carefully monitor the amount of vigorous activity and observe campers for any signs of distress.
  • Water jugs are provided for outdoor camps, and all camps have an indoor, air-conditioned space assigned to them to provide campers an opportunity to cool off at multiple times throughout the day.
  • For safety reasons, if a thunderstorm occurs during pickup time, campers will not be released from indoor shelters until 30 minutes after the last sight of lightning/ the sound of thunder. During this time, you must park and enter the building to escort your camper to your car. Bullis staff will provide further instructions in these situations.
  • No refunds will be given in the event of camp closure due to inclement weather, emergencies, loss of power, or safety concerns.

Evacuation/ Fire Drills

Bullis Summer Programs is required to conduct periodic evacuation drills. All personnel and campers on the Bullis campus will be required to participate during one of these scheduled drills. The purpose of these organized drills is to ensure a safe and orderly environment on the Bullis School campus for all campers and staff. Each camp instructor and director is oriented to these procedures and is instructed to follow them during a scheduled evacuation drill or real event.

Conduct

  • Campers are encouraged to leave valuable items at home. Bullis Summer Programs is not responsible for lost or stolen items. This includes cell phones and other electronic devices.
  • Campers are expected to conduct themselves in a manner conducive to a safe and orderly environment. Bullis Summer Programs will not tolerate inappropriate or offensive language, physical or verbal assault, disrespecting classrooms or other school/ camp property, or bullying of any kind.
  • Campers who do not meet the above expectations (and/or are disruptive to the operation of the program/camp management) may be removed from camp, and parents/guardians may be called to pick up their child. Continued disruption could result in dismissal from Bullis Summer Programs without a refund or opportunity to re-enroll.
  • Bullis Summer Programs makes every effort to ensure the good-faith operation of its programs; however, all camp trips and activities, as detailed in camp descriptions, are subject to change. Bullis Summer Programs reserves the right to make changes in personnel to any program without prior notice.

Extended Day Care

Extended Day Care is available before camp from 7:30 – 9:00 a.m. and after camp from 2:30 – 5:30 p.m. Pre-registration for this service is strongly encouraged for your economic benefit and advanced planning purposes.

Camp Holidays

Notice: 2024 Holiday Weeks

Please note there is no camp on the following days.

Week 1: Wednesday, June 19
Week 3: Thursday, July 4

Lunch and Snacks

Please pack a nonperishable, nut-free lunch for your child each camp day*. Snacks will be provided to all campers throughout the day. Please write your camper’s name on any bags or lunchboxes. Lunches are not refrigerated, so please pack nonperishable foods and include an ice pack. Microwaves are not available. 

*Friday will be camp pizza day. Pizza will be provided to all campers for no additional fee. However, campers participating in a camp that is off-site (Aviation, Wilderness & Adventure) or are in Bulldog Day Camp Jr. (half-day PM session only), should bring a lunch on Friday. Additionally, if campers have dairy or gluten allergies, they should bring a lunch from home on Friday.

 

Good Faith Clause

Bullis Summer Programs makes every effort to ensure the good-faith operation of its programs, however, all camp trips and activities as detailed in camp descriptions are subject to change. Bullis Summer Programs reserves the right to make changes in personnel to any program without prior notice.
